There is an invisible thief reaching into your pocket every day, stealing your time. It doesn’t matter what you do for a living—whether you are a driver, a seamstress, a chef, a mechanic, a receptionist, or a freelancer building a digital empire. This problem doesn’t discriminate by profession, but it does choose its victims: those who haven’t set up a system to protect their most valuable resource.
We are talking about pointless conversations.
The “Only 15 Minutes” Paradox
Imagine this scene: You are a car mechanic. You’ve just opened the hood, fully focused on a complex engine repair for a client. At that exact moment, the phone rings. It’s your mother-in-law. She just wants to tell you how she suddenly remembered beautiful memories of a vacation in Makarska back in the eighties. Fifteen minutes pass. You’ve lost your rhythm, your focus is shattered, and the work has stalled.
Or imagine you are a hair stylist. The salon is packed, customers are waiting, and the scissors are flying. Your neighbor calls. He has to tell you that his cat has chickenpox and he’s currently rushing it to the vet.
How much time are these people stealing from you? On the surface, it’s “only 15 minutes.” But let’s fire up a calculator that doesn’t lie: 15 minutes of such conversations a day adds up to 12 full working days a year. That is almost two full work weeks you’ve gifted to empty stories instead of your profit or a vacation with your family.
The “Meeting” Culture: The Most Expensive Way to Do Nothing
More than 50% of professions today involve working with clients or customers. This implies meetings, deals, and negotiations. Have you ever finished a conversation and thought: “This could have been solved in three messages or twice as fast”?
Conversations are often a mask for a lack of focus. Every time you enter an unplanned or poorly managed call, you lose time for Deep Work—time that is impossible to recover. The core of the problem is clear: most meetings lack an agenda and end without concrete conclusions. Without a clear structure, a meeting isn’t work—it’s an expense that directly shrinks your profit and drains your mental energy.
Mental Overload: The Hidden Problem
The problem with long conversations isn’t just the passage of time. It’s the cognitive effort. While listening to the person, you are simultaneously trying to think of a solution, take notes, and not forget key details. The result? Lost information, wrong steps taken after the meeting, and that “deflated balloon” feeling at the end of the day.
This is where your new digital ally comes in—Artificial Intelligence (AI).
AI as Your Filter and Digital Scribe
By introducing AI assistants, you completely change the rules of the game. AI isn’t here to replace you; it’s here to have your back. While you talk, AI transcribes every word and, most importantly, automatically extracts key points (Action Items).
You no longer have to worry about whether you wrote something down or forgot a client’s specific request. AI allows you to be 100% present for the person in front of you or on the line, knowing that you will receive a precise report ready for execution at the end.
The Solution: Asynchronous Communication and AI Precision
From today, your meetings must become surgically precise. Here are three concrete steps to achieve this using the tools presented in my system:
- Introduce an AI Note-taker (e.g., Fireflies or Fathom): Connect an AI bot to your calendar. It will automatically record the call and send you a summary with a list of concrete tasks immediately after. Instead of hours of trying to remember, you spend 60 seconds reviewing key points.
- Replace Meetings with AI Video Messages (e.g., Loom + AI): Instead of scheduling a time and wasting an hour coordinating calendars, record a 2-minute screen video. AI will generate titles and a summary of your video. The client gets the info when it suits them, and you save hours spent on “idle time.”
- AI Meeting Conditioning: Before you even accept a call, request an AI-generated agenda. Set a boundary: “These are the 3 points we need to decide on.” Without a clear agenda, the meeting is canceled. You set the rules of the game.
The Result: Time Back in Your Hands
When you introduce AI structure, your workday gets a new rhythm. Tasks are completed twice as fast because the instructions from meetings are crystal clear and always available in one click. You no longer waste energy guessing “what did we say,” but on direct execution that brings in money.
You are the master of your time again. Don’t let “cats with chickenpox” and “memories of Makarska” dictate your bank account. Become the owner of a system, not a slave to phone calls.
